The Tournament Owner or Chief Referee assigns you as Organizer. Accept your invitation to get access to operational tools.
Check your notifications
You'll receive a push notification and email: "You've been assigned as Organizer for [Tournament Name]."
Review and accept
Tap Accept on the invitation. The Organizer Dashboard for this event is immediately added to your app.
Familiarize yourself with the dashboard
Explore the tabs: Check-In, Schedule, Announcements, and Reports. Contact the Tournament Owner if any sections appear locked or inaccessible.
Player Check-In
Mark players as present when they arrive at the venue. Check-in status is used to automatically handle no-shows.
Open Check-In tool
Go to Organizer Dashboard → Check-In. You'll see a list of all registered players sorted by name, category, and expected arrival time.
Mark players as present
Tap the player's name and tap Check In. Their status changes to Present and is visible to the Chief Referee and Tournament Owner.
QR code check-in (optional)
If enabled, players can present a QR code from their app. Tap the QR scanner icon and scan it to check them in instantly — no manual searching required.
Flag absent players
Players not checked in 30 minutes after the tournament starts are automatically flagged as Absent. The Chief Referee is notified to decide on walkover rulings.
Schedule Builder
Plan the daily match schedule across all categories and publish it so players know when to be ready.
Open Schedule Builder
Go to Organizer Dashboard → Schedule. You'll see a timeline view with all tables on the X-axis and time slots on the Y-axis.
Drag matches to slots
Drag match cards from the Unscheduled Queue into time slots on the appropriate table. The system warns you about conflicts (e.g., a player booked at two tables simultaneously).
Set match duration
Assign expected match durations per category (e.g., 30 min for singles, 45 min for doubles). This helps build a realistic schedule without over-packing time slots.
Publish the schedule
Tap Publish Schedule. All players receive a push notification with their scheduled match times and table numbers for the day.
Update on the fly
During the tournament, drag matches to new slots if a table becomes free early or a match is running late. Players are re-notified of any time changes.
Buffer time
Add buffer slots between categories to allow for warm-up, table wipe-down, or meal breaks. These appear in the schedule as grey blocks.
Table Assignments
Assign helpers to specific tables and manage table availability in real time.
View table status board
The Tables view shows all tables with their current status: Free, In Use, Unavailable (e.g., maintenance).
Assign helper to table
Tap a table → Assign Helper → select from the available helpers list. A helper can be assigned to multiple tables if the event is small.
Mark tables unavailable
If a table needs maintenance or is temporarily out of service, mark it as Unavailable. Scheduled matches on that table are flagged for reassignment.
Reassign match to another table
Drag the match card in the Schedule Builder to a different table. The assigned helper and both players are notified of the table change.
Broadcast Announcements
Send real-time updates to all participants — schedule changes, venue info, or important alerts.
Open Announcements
Go to Organizer Dashboard → Announcements → New.
Choose audience
Send to All Participants, or target a specific category (e.g., only Men's Singles players) or role (e.g., all helpers).
Write and send
Enter a title and message (max 200 characters for push notifications). Tap Send Now or schedule it for a specific time.
View delivery status
After sending, view delivery rates — how many players have received and read the notification in real time.
No-Show Handling
Manage situations where a called player doesn't appear at the table.
Automatic flagging
When a match is called and a player doesn't acknowledge within the no-show window, TT Stars automatically flags the match on your dashboard with a warning.
Send a second call
Tap Re-Call Match to send a second notification to the absent player. This resets the no-show timer.
Escalate to Chief Referee
After a second unanswered call, tap Escalate to Referee. The Chief Referee will decide whether to issue a walkover.
Reschedule if needed
If the player has a valid reason (e.g., still playing on another table), the Referee can grant an extension and you can reschedule the match to a later time slot.

Track tournament completion in real time and share updates with the Tournament Owner.

Printable progress report
Navigate to Reports → Live Progress for a real-time dashboard. The report shows category-wise completion, average match duration, tables utilization, and an estimated tournament end time based on current pace. Export as a PDF to share with the Tournament Owner or media coordinator.

Yes. You can update the schedule at any time. When you make a change to an already-notified match (time or table), the affected players automatically receive an update notification. It's best practice to minimize post-publish changes to avoid confusion on event day.
Yes, registration management is one of the Organizer's permissions. You can approve, reject, and manage the waitlist for all categories. Only the Tournament Owner can issue refunds.
Contact the Tournament Owner to add a new table to the system. Once added, it immediately appears on your schedule board and can be assigned matches like any other table.
No. Walkovers and disciplinary rulings are the exclusive domain of the Chief Referee. As Organizer, you can escalate a no-show to the referee but cannot issue the ruling yourself.
